Laptop Loan Service
Users can borrow, return, and reserve Assets. Using either the Laptop Loan Portal or the locker terminal.
Current locations: -
- Level 3 SIWB (Sir Ian Wood Building) beside stairs to back atrium
- Level 9 Digital Hub (SIWB)
- Level 3 Student Union Riverside Building
Current loan types: -
- 10 hour loans - On Campus only (open to Staff and Students) - Available at all locker locations
- 7 day loans - On Campus and Off Campus (available to Students only) - Available at Level 3 Student Union Riverside Building only (currently)
Note - Staff booking multiple laptops, this does not mean they can Borrow more than 1, this will only try to ensure that the Booked amount is available for anyone to Borrow at the requested booking time.
Borrow an Asset (locker terminal)
Currently this is limited to 1 device at a time per user, any borrowed device must be returned correctly before another will be made available.
- Scan your RGU ID/Student card in the slot beneath the Home Screen

If it is your first time using the Lapsafe locker you will be asked to set a PIN and press Enter(minimum of 4 digits) , if you have previously setup a PIN then you will be asked to enter the PIN and press Enter.
- You will then be asked to read and accept our Terms and Conditions for using the laptop Loan service (scroll down to review the full terms).
Once reviewed select the Green Tick.
- If you have access to borrow a device, the screen will show your details and show how many devices are available. Touch the Borrow button on the screen.
- The Borrow screen will then display the devices that are available to borrow. Touch the device you want to borrow.
- It will then assign a locker to be used.
- Once done it will display the locker details. Follow the on-screen instructions to collect the device from the assigned locker.
Please note, the laptop is connected to a cable which needs to be carefully removed before removing the device.
- Confirmation of your loan will be sent to your RGU email address detailing time the device is due to be returned
Return an Asset (locker terminal)
Devices can only be returned to the locker and until done so, the device will remain your responsibility.
- Scan your RGU ID/Student card I the slot beneath the Home Screen

you will be asked to enter your PIN and press Enter.
- You will then be asked to read and accept our Terms and Conditions for using the laptop Loan service (scroll down to review the full terms). Once reviewed select the Green Tick
- Touch the Return button to return the device.
- Follow the on-screen instructions to return the device to the locker.
Please note, the laptop is connected to a cable which needs to be carefully inserted for the device to be registered as successfully returned.
Failure to do this will mean the device is still loaned to you and you will not be able to loan any other devices until the device is successfully returned.
Once the cable is connected the locker light will turn red.
Confirmation of the successful return will be emailed to your RGU email address, if the device is not returned successfully then you will receive emails every hour to your RGU email address,
asking you to return to the locker and return the device correctly.
Login to device
- Power on laptop
- Once the laptop is at the log on screen you will need to connect to Wi-Fi, click the Network Icon (bottom right corner of the screen) on the Windows login screen.
- This will display available wireless networks. Select Eduroam and click connect.
- Use your RGU account and password to sign into Eduroam.
- Once Eduroam has connected you will be able to log on to the laptop. Log into the laptop with your RGU account and password.
Note - If someone else is still logged into the laptop, you can click the Sign out button in the bottom left-hand corner of the login screen to log them out. Once done you will be able to login to the device.
Logoff the device
- From the Start Menu, click your RGU profile (highlighted below) and select sign out.
- Once signed out select the power button in the bottom right of the screen and select sleep.
Bookings
Bookings can be made using the locker terminal or Loan Portal and gives the ability for students to book 1 device or staff members to book multiple devices for a specific date and time.
When making a booking, the installation will attempt to hold the assets needed for the booking.
The devices booked, will then be made available to be borrowed at the selected date and time. This does not assign laptops to selected users/depts but only attempts to hold the requested number of laptops, so they are available for anyone to borrow at the requested time.
Create a booking (locker terminal)
- Scan your RGU ID/Student card in the slot beneath the Home Screen

- Touching the Person Icon in the top right corner will take you to the Bookings page where you can create and manage any bookings you need.
- Select Manage Bookings
- Select New Booking
- Select the date and time you require the laptops to be available, and Confirm Booking Date
- Select the required location.
- Select required device(s)
- Select Quantity to required (Staff only, students can only book 1), review details and touch Make Booking to complete the request.
- Once the booking is accepted it will show the booking created screen. Confirmation of the booking will be sent to your RGU email address.
Manage a Booking (locker terminal)
- From the Manage Bookings screen you can release or cancel any bookings made. Select the required booking.
- Touch the Up-arrow Icon at the right of the booking to release the booking. Touching the Red Waste bin will cancel the booking.
- Touch the Green Tick to confirm the release/cancellation of the booking.
- You will receive confirmation that the booking has been cancelled. Confirmation will also be sent to your RGU email address.
Laptop Loan Portal
The Laptop Loan Portal allows staff and students to view their current loans, Reserve an Asset, make a booking, and check the current device availability from their laptop or mobile device.
You can access the Loan Portal by clicking or browsing to Laptop Loan Portal.
- Go to https://rgu.onarken.com/my
- Click Sign in with Microsoft and sign in with your RGU credential
- Once in you will be presented with the Loan Laptop Portal
Reserve an Asset (Loan Laptop Portal)
This allows the user to hold an available device for them to collect in the next 30 mins. After the 30 mins if the device is not collected then it will be released and available for others to borrow.
- Select Reserve an Asset
- Select the location (locker) you want to collect from
- Select the device you want to reserve.
If no devices are available, it will show the device as unavailable.
- Once reserved you will see the below confirmation advising of the expiry time for the reservation. Confirmation will also be sent to your RGU email address.
My Loans (loan Laptop Portal)
My Loans shows your current and history of any loans.
Availability (loan Laptop Portal)
This shows the currently available devices across all RGU lockers.
Make a Booking (loan Laptop Portal)
- Select Make a booking.
- Choose required date and time. Select Confirm Booking Date.
- Search for the user you are booking for or select Booking is for me.
- Select location (locker) to make booking from
- Select the device type to book.
- Review and include the quantity of devices (Staff only) to be booked.
- You will then see confirmation of the booking. Confirmation will also be sent to your RGU email address.
